JR KYUSHU HOTEL Kagoshima Meeting Room Terms and Conditions

JR KYUSHU HOTEL Kagoshima (hereinafter referred to as "the Hotel") has established the following terms and conditions regarding the use of the meeting room. In the event that a separate arrangement is made with the hotel in an individual contract, the terms and conditions of the agreement shall be followed. In addition, matters not stipulated in this agreement shall be governed by laws and regulations or generally established customs.

Application

  • Article 1 Reservations can be made up to one year in advance.
  • 2. When accepting a reservation, a tentative reservation period is set. In principle, the tentative reservation period is 7 days from the date of application. Please contact the hotel during this period to let us know whether or not you have made a decision.

Meeting room usage time

  • Article 2 The use of the conference room shall be for a period agreed upon in advance between the Hotel and the guest, and shall include the period from setup to removal.
  • 2 If you exceed the designated time, an additional room charge will be incurred.
  • 3. We may not be able to accommodate your request to exceed the usage time depending on the time when the next use of the venue begins.

Checkout

  • Article 3 The application fee must be paid by the payment date designated in advance by the Hotel.
  • 2 Notwithstanding the provisions of the preceding paragraph, the Hotel may enter into a special contract that does not require payment of an application deposit.
  • 3 If the Hotel does not request the payment of the application fee under Paragraph 1 and/or does not specify a due date for the payment of the application fee when accepting an application for a Conference Room Usage Contract, etc., the application shall be treated as having been accepted for the special contract under the preceding Paragraph.
  • 4. If you comply with the special provisions of paragraphs 2 and 3, please settle the usage fee at the front desk by the end of the conference, etc. on the day.

Compensation

  • Article 4 Guests (including guests and related parties) and staff of contractors arranged directly by guests must take great care not to damage the Hotel's facilities, fixtures, and equipment. If any damage occurs to the Hotel's facilities, fixtures, and equipment, guests will be required to pay compensation for such damages. If guests have arranged directly with an external contractor, please contact the Hotel in advance.

Prohibited acts

  • Article 5 The following items are prohibited:
    • (1) Bringing in dogs, cats, small birds, or other animals or livestock other than guide dogs, service dogs, or hearing dogs
    • (2) Carrying in dangerous, toxic, flammable or other harmful items
    • (3) Bringing in any items that emit a foul odor or cause other discomfort
    • (4) Gambling or other actions that disrupt public morals, or behavior that causes inconvenience to other customers
    • (5) Moving or taking away fixtures, equipment, etc.
    • (6) Use other than the intended purpose
    • (7) Any other acts prohibited by law.
  • 2. Please consult with the person in charge beforehand if you wish to play musical instruments in a conference room, etc. If it is determined that your playing will cause inconvenience to other customers or the venue, you may be asked to refrain from using the instrument.

Refusal of application for a meeting, etc. and cancellation of contract

  • Article 6: The Hotel will refuse your application to use the Conference Rooms, etc. if any of the following items apply to the user (including the customer, guests, or those involved in the arrangements). Furthermore, the Hotel will cancel any existing contracts and reservations once such facts become clear.
    • (1) If any of the following applies to the person:
      • A) When the person is a member of an organized crime group, a member of an organized crime group, an organization or person related to an organized crime group, or any other antisocial force
      • a) When the person is a corporation or other organization whose business activities are controlled by an organized crime group or a member of an organized crime group, or is a member of such a corporation or organization
      • C) When a corporation or organization has an executive officer who is a member of an organized crime group.
    • (2) When it is deemed that there is a risk of a guest engaging in conduct that violates laws, regulations, or public order and good morals, or when it is determined that a guest is engaging in conduct that causes significant inconvenience to other guests
    • (3) When the Guest commits violent acts against the Hotel or the Hotel staff, or makes unreasonable demands of the Hotel
    • (4) When there is a person who is deemed to be in danger of harming the life, body, or property of other customers in light of the purpose, number, and manner of use
    • (5) When it is clearly recognized that the person has an infectious disease.
    • (6) When protests, harassment, etc. are anticipated in relation to the guest's use and the Hotel reasonably determines that such actions, even if necessary to avoid such actions, will cause a nuisance to other guests or the neighboring areas.
    • (7) When the content of the application is different from that at the time of application.
    • (8) When the right to use the conference room, etc. is sold, transferred, or subleased to a third party.
    • (9) When these terms and conditions are violated

Disclaimer

  • Article 7 We will not be liable in the following cases:
    • (1) When the holding of a conference, etc. becomes impossible or extremely difficult due to the loss or damage of all or part of the facilities due to acts of God, natural disasters, war, fire, or other causes beyond the control of the Hotel
    • (2) When it becomes impossible or extremely difficult to carry out a conference, etc. due to reasons beyond the control of the Hotel, such as the exercise of public authority pursuant to laws and regulations, guidance from relevant government agencies, or the requisition, removal or prohibition of use of a conference room pursuant to government regulations, orders or guidance.
    • (3) If it becomes impossible or extremely difficult to hold a conference or other event due to the reasons mentioned above, we will cancel the conference room, etc. usage agreement and refund all application fees paid up to that point.

Cancellation Fee

  • Article 8: If you cancel a conference, etc. for which you have already signed a contract, as a general rule we will charge you a cancellation fee as detailed below (the application fee will be applied to this cancellation fee).

LAN connection precautions

  • ◎ Each conference room is equipped with wireless LAN (Wi-Fi).
    We also have RJ45 connectors. If you require a wired LAN connection, please let us know in advance.
  • ◎ We do not guarantee that this service will be available to all customers. It may not be available depending on the type and settings of your PC or software, network failures, etc. Also, depending on your ISP, you may not be able to send or receive e-mails.
  • ◎ When connecting, please make any settings at your own discretion. Please note that we do not provide setup services for PCs or peripheral devices.
  • ◎ Internet connection is provided free of charge, however, any fees for use of paid services on the Internet will be borne by the customer.
  • ◎ Although security features have been implemented, we do not guarantee safety.
  • ◎ The hotel is not responsible for any damages incurred through the use of this service. Furthermore, we may refuse use at our discretion (due to large amounts of packet communication, virus infection, etc.).
