Terms

Purpose of using the meeting room

Please be aware that our hotel has established the following terms and conditions regarding the use of meeting rooms. If separate agreements are made with the hotel in individual contracts, the terms and conditions of those agreements shall apply. Any matters not stipulated in these terms and conditions shall be governed by laws, regulations, or generally established practices.

Article 1 (Application)

  1. 1.
    Reservations for meeting rooms will be accepted from the beginning of the month eight months prior to the date of use.
  2. 2.
    When we accept your reservation, we set a tentative reservation period. In principle, the tentative reservation period is 7 days from the date of application. Please contact the hotel within this period to let us know whether or not you have made a decision. If we do not hear from you, we will treat your reservation as cancelled.

Article 2 (Meeting Room Usage Hours)

  1. 1.
    Use of the meeting room will be for a period agreed upon in advance between the hotel and the customer, and will include setup and removal.
  2. 2.
    If you exceed the designated time, an additional fee will be charged.
  3. 3.
    Depending on the usage status of the venue, we may not be able to accommodate requests to exceed the usage time.

Article 3 (Payment)

  1. 1.
    The application fee must be paid by the payment date designated in advance by the Hotel.
  2. 2.
    Notwithstanding the provisions of the preceding paragraph, the Hotel may enter into a special contract which does not require payment of a reservation deposit.
  3. 3.
    If the Hotel does not request the payment of the application fee stipulated in Paragraph 1 and/or does not specify a due date for the payment of the application fee when accepting your application for a Meeting Room Usage Contract, etc., it will be treated as if you have entered into the special contract stipulated in the preceding Paragraph.
  4. 4.
    If you comply with the special provisions of paragraphs 2 and 3, please settle the usage fee at the front desk by the end of the meeting, etc. on the day.

Article 4 (Compensation for Damages)

  1. 1.
    Guests (including guests and related parties) and staff of companies arranged directly by guests must take great care not to damage the hotel's facilities, fixtures, and equipment. If any damage occurs to the hotel's facilities, fixtures, and equipment, guests will be required to pay compensation for such damages. If guests have arranged directly with an external company, please contact the hotel in advance.

Article 5 (Prohibitions)

  1. 1.
    The following items are prohibited:
    1. (1)
      Bringing in dogs, cats, small birds, and other animals/livestock other than guide dogs, service dogs, and hearing dogs
    2. (2)
      Carrying in dangerous, toxic, flammable or other harmful items
    3. (3)
      Bringing in any items that emit a foul odor or cause other discomfort
    4. (4)
      Gambling or other actions that disrupt public morals, or behavior that causes inconvenience to other customers
    5. (5)
      Moving or taking away fixtures and fittings
    6. (6)
      Use other than the intended purpose
    7. (7)
      Any other acts prohibited by law
  2. 2.
    Please consult with the person in charge beforehand if you wish to play musical instruments in meeting rooms, etc. If it is determined that playing musical instruments will cause inconvenience to other customers or the venue, you may be asked to refrain from using them.

Article 6 (Rejection of application for conference, etc. and termination of contract)

  1. 1.
    The Hotel will refuse your application to use the Meeting Rooms, etc. if any of the following apply to the user (including the customer, guests, or those involved in the arrangements). In addition, the Hotel will cancel any existing contracts and reservations once such facts become clear.
    1. (1)
      If any of the following applies to the person:
      1. a)
        When the user is a member of an organized crime group, a member of an organized crime group, an organization or person related to an organized crime group, or any other antisocial force
      2. stomach)
        When the person is a corporation or other organization whose business activities are controlled by an organized crime group or a member of an organized crime group, or is a member of such a corporation or organization
      3. cormorant)
        When a corporation or organization has an executive officer who is a member of an organized crime group
    2. (2)
      When it is deemed that there is a risk of a guest engaging in acts that violate laws, regulations, or public order and good morals, or when it is determined that a guest will behave in a manner that causes significant inconvenience to other guests
    3. (3)
      When a Guest commits violent acts against the Hotel or Hotel staff, or makes unreasonable demands on the Guest
    4. (4)
      When there is a person who is deemed to be in danger of harming the life, body, or property of other customers in light of the purpose, number, and circumstances of use
    5. (5)
      When it is clearly recognized that the person has an infectious disease
    6. (6)
      When protests, harassment, etc. are anticipated in relation to the guest's use and the Hotel reasonably determines that such actions will cause a nuisance to other guests or the surrounding area, even if the Hotel takes measures that the Hotel deems necessary to avoid such actions.
    7. (7)
      When the content of the application differs from that used
    8. (8)
      When the right to use a meeting room, etc. is sold, transferred, or subleased to a third party
    9. (9)
      When you violate this agreement

Article 7 (Disclaimer)

  1. 1.
    We will not be liable in the following cases:
    1. (1)
      When all or part of the facilities are lost or damaged due to acts of God, natural disasters, war, fire, or other causes beyond the control of the Hotel, making it impossible or extremely difficult to carry out a conference, etc.
    2. (2)
      When it becomes impossible or extremely difficult to carry out a meeting, etc. due to reasons beyond the control of the Hotel, such as the exercise of public authority under laws and regulations, guidance from relevant government agencies, or the requisition, removal or prohibition of use of a meeting room due to government regulations, orders or guidance, etc.
    3. (3)
      If it becomes impossible or extremely difficult to hold a meeting etc. due to the reasons mentioned above, we will cancel the meeting room usage agreement and refund all application fees paid up to that point.

Article 8 (Cancellation Fee)

  1. 1.
    If you cancel a conference or other event for which you have already signed a contract, you will be charged a cancellation fee as follows. The application fee will be applied to this cancellation fee.
    5 or 4 days before 20% of the meeting room fee
    3 or 2 days before 50% of the meeting room fee
    The day before or the day 100% of the meeting room fee
